Fireflies AI is a meeting assistant that joins Zoom, Teams or Meet with a bot called Fred, records the call, transcribes it and sends a summary. It has a free plan and paid plans from 10 dollars per user per month. At a law firm there are two settings to check: by default it sends the summary to every invitee, including external ones, and it stores the data in the United States. To remove it from a Teams meeting, whoever organises the meeting can remove it from the participant list.
What Fireflies AI is and what it is for
Fireflies AI is a meeting notes service from Fireflies.ai Corp, a company based in Miami (United States). It records the meeting, turns it into text with who is speaking and produces a summary with the topics and the tasks. Then it lets you search all your meetings by word, by person or by minute, and ask questions with its assistant, AskFred.
Its typical use is a sales or project team: back-to-back meetings with clients, notes sent automatically to the CRM (Salesforce, HubSpot) or to the task tool (Asana, Jira, Trello) and a history to search. Its website talks about more than a hundred integrations.
How Fireflies works: Fred, the bot that joins the meeting
Fireflies joins your meetings as one more participant: you connect your calendar and its bot, Fireflies Notetaker (Fred), joins the meetings in your calendar on its own to record and transcribe them. It works with Zoom, Google Meet, Microsoft Teams, Webex and other platforms.
The bot appears in the attendee list under its name. That is why Fireflies also offers ways to record without a bot:
- Desktop app for Windows and Mac, which takes notes without a bot in Zoom, Meet, Teams and Slack.
- Chrome extension, for Google Meet only.
- Mobile app for iPhone and Android, for in-person meetings and interviews.
- Uploading a file in MP3, MP4, WAV or M4A for it to transcribe.
Everything is processed in the Fireflies cloud: none of the options transcribes on your computer.
Is Fireflies AI free? Pricing and plans
Fireflies has a free plan with limits and three paid ones, according to its pricing page at 3 November 2026 (in dollars, per user per month):
| Free | Pro | Business | Enterprise | |
|---|---|---|---|---|
| Billed monthly | $0 | $18 | $29 | Annual only |
| Billed annually (per month) | $0 | $10 | $19 | $39 |
| Storage | 400 minutes per team | 8,000 minutes per user | Unlimited | Unlimited |
| Maximum recording per meeting | 2 hours | 2 hours | 3 hours | 4 hours |
Only the Enterprise plan lets you store the data in the European Union, delete it automatically after a set time, not keep the audio, and use single sign-on and audit logs.
The free plan has small print. Unlimited transcription only applies if you let the bot join your meetings on its own: with that option off, accounts created since 1 September 2026 get three transcriptions. Downloading a transcript requires a paid plan, and the files you upload cannot exceed 100 MB or 150 minutes.
The per-meeting limit matters if you are thinking of long hearings: two hours on the Free and Pro plans.
Does Fireflies work in Spanish?
Fireflies transcribes and summarises in Spanish: its list of more than a hundred languages distinguishes Spanish from Spain and from Latin America. But its own pricing page says the primary language is English and that Spanish, French, Portuguese, Italian and the rest are “in beta”.
Two more details:
- One language per meeting. Automatic detection picks one main language. For meetings in two languages it has a multilingual mode, also in beta, on the Business plan.
- The help centre is in English. The marketing website has a Spanish version, but the help centre does not.
The accuracy it advertises (up to 99%) is its own figure and it does not break it down by language.
How to remove Fireflies from a Teams meeting (and turn it off)
To remove Fireflies from a Teams meeting in progress, open the participant list, select the three dots next to Fireflies and choose «Remove from meeting». The rest depends on who brought it.
If the bot is yours
- In the meeting: remove it from the participant list (it works the same in Zoom and Meet) or type
/ff leavein the chat. If it leaves within three minutes, no transcript or notes are kept. - In a meeting already scheduled: delete fred@fireflies.ai from the invitation or turn that meeting off in the «Upcoming» tab in Fireflies.
- So that it doesn't join on its own again: in Fireflies, «Recording & Privacy», turn off «Auto-record meetings» or choose for it to join only when you invite fred@fireflies.ai. Watch out for recording rules by keyword or by domain: they override that setting.
- To get rid of it completely: delete the account. It is deactivated immediately and deleted after 30 days. According to its help centre, this is how you fully withdraw its access to your Google account and your calendar.
If the bot belongs to another participant
If you no longer have an account and Fred keeps appearing, another invitee has brought it: Fireflies joins on behalf of any participant with an active account. Deactivating your account does not prevent it. If you are the organiser, you can remove it from the participant list like any other attendee, and it is worth telling whoever brought it why.
What the Teams admin can do
In Teams, the bot joins as a guest, so it needs the organisation to allow guests. On top of that, Microsoft's policy for external bots sends detected bots to the lobby by default until someone admits them. If Fireflies gets into meetings at your firm without anyone approving it, your admin should review that policy.
What Fireflies does with the recording, the notes and the data
Fireflies stores the data in its US cloud, except on the Enterprise plan, which lets you store it in the European Union even though it is processed in the United States. Its documentation, at 3 November 2026:
- Who gets the summary: by default, every calendar invitee, internal and external. It can be changed to only you and your team, or only you.
- Who can open the notes: by default, anyone with the link, even if they were not in the meeting. Password-protected links are on Business and Enterprise.
- Training: its privacy policy says it does not use personal information to train AI models and that it prohibits its providers from doing so by contract. Its terms do, however, give it a perpetual licence over the content and let it derive usage and statistical data for internal purposes.
- How long: until you delete the meeting or the account (30 days). Automatic deletion and the mode that does not keep the audio are Enterprise only.
- Certifications: SOC 2 Type 2, ISO/IEC 42001 and participation in the EU-U.S. Data Privacy Framework.
The questions worth asking any tool before it touches a client meeting are covered in client confidentiality and GDPR when using AI.
Fireflies at a law firm: what to check
In a law firm's meeting, the bot and the automatic sending of the summary weigh more than in a sales meeting, because of who is on the other side:
- The client sees it. Fred appears in the list under its name, and not every client accepts an outside service «listening» to what they tell you.
- The other side gets it too. If opposing counsel is in the meeting and sending is still on the default setting, the summary reaches them.
- The bot may be someone else's. In a meeting called by the client or the other side, their Fireflies can join even if you don't use it. Check the participant list before discussing anything sensitive.
- A long hearing doesn't fit. Two hours per recording on the Free and Pro plans, and files of 150 minutes at most on the free plan.
If you use Fireflies, the minimum is to change the summary sending to only you and remove access by link. How bots compare with the platform's own features and with apps that record without a bot is covered in taking meeting notes with AI.
Where Fireflies wins
Fireflies has real strengths, according to its website at 3 November 2026:
Integrations
More than a hundred, with notes and tasks sent automatically to Salesforce, HubSpot, Asana, Jira or Slack. For a sales team, this is what saves the most time.
Search across all your meetings
It searches by word, by person or by minute across the whole history and answers questions with AskFred.
Many ways to record
Bot, desktop app, Chrome extension, mobile, file upload and phone systems such as Aircall or RingCentral.
Dictation included
Fireflies Talk offers unlimited dictation on every plan, including the free one, in more than 90 languages.
A Fireflies alternative without a bot: ablalo
The alternative to Fireflies at a law firm is an app that records the meeting without joining it, in Spanish, and that sends nothing to anyone unless you decide to.
With ablalo, the meeting is recorded on your computer (the microphone and the computer's sound), so no bot appears in the participant list and it works the same in Teams, Zoom, Meet or across the desk at the firm. For each meeting you choose where it is processed: «European cloud», with who is speaking and a summary of what you have to do, what the client has to do and the dates that were mentioned, or «Only on this computer», without the recording leaving it. The summary is not sent to anyone: you export it yourself, for the firm or for the client, and you can replace the names with tags. Each meeting is saved in its matter file, and you can also add the video of a hearing to transcribe it. It recognises Spanish speech only.
Before installing anything, you can transcribe a meeting for free on the website (the page is in Spanish) to see how it comes out.
Fireflies vs ablalo, point by point
| Fireflies | ablalo | |
