How to anonymise a document, step by step

In ablalo's Anonymize section you paste the text or drop in the document, press a button and you get the tagged version, ready to review and share.

  1. Paste the text or drag in the document

A brief, an email or some notes. Or drag a Word document, a PDF or a text file into the window, even a scanned one.

  2. Press “Hide the data”

Names, ID documents, phone numbers and addresses become tags such as [PERSONA 1] (person 1). The same person gets the same tag throughout the text.

  3. Review it and save it

“Show what it said” shows you the original, and anything doubtful is marked. Then you save it as Word or PDF, or copy it.

What it hides and what it leaves visible

ablalo looks in the text for the details that identify your client and the other people in the matter, and swaps them for tags. What you need to understand the document stays as it was. It is built for documents in Spanish (and in Catalan, Galician or Basque).

It hides

  • Names and surnames
  • DNI and NIE (Spanish IDs)
  • CIF and passport
  • NIG and case number
  • IBAN and cards
  • Phone numbers and emails
  • Addresses and postcodes
  • Bar number (colegiado)
  • Social Security number
  • Number plates
  • Land registry references
  • Date of birth
  • Companies
  • Schools, hospitals and other named centres
  • A minor's initials, such as L.P.G.

It leaves visible

  • Courts and institutions
  • Laws and articles
  • Case law
  • Cities and countries
  • Amounts
  • Dates, except date of birth

Review it before sending it. It doesn't hide health or trade union membership data, and the facts described can identify someone.

Anonymise a Word document or a PDF, even a scanned one

Drag a Word document (.docx), a PDF or a text file into the window, or find it with “Choose a document”. If the PDF is a scanned image, your own computer's text recognition reads it and ablalo warns you that it comes from a scan, so you can check it.

You save the result as a new Word document or PDF, with a note at the top (in Spanish) explaining the tags, or you copy it to paste wherever you like.

Anonymise the selected text in any program

Select some text in Word, your email or the browser and press Alt + A on Windows (⌥ + A on a Mac). ablalo anonymises it on your computer and replaces it right there with the tagged version.

The last thing you anonymise this way appears in the Anonymize section, so you can put the names back when the AI answers. It works while you are signed in to ablalo, like dictation, and you can change the shortcut in Settings.

Anonymise before using ChatGPT or another AI

Try it free for 14 days

Paste the tagged text into ChatGPT, not the original. When the AI answers, you paste its answer into “Put the names back” and the real names and details come back, on your computer.

If the AI has changed or made up a tag, it stays as it is and ablalo tells you which one, so you can check it.

On your computer: the document is not uploaded

The anonymiser is built into the app: neither the text nor the document leaves your computer to be anonymised. Nor when you put the names back.

Privacy policy (in Spanish)
  • On your machine

It is anonymised inside ablalo, without uploading the document to any website.

  • Scans too

Your own system's text recognition reads them, never in the cloud.

  • Nothing is saved

The anonymised text and the table for putting the names back are not saved in any file: they are gone when you close.

In the same app, dictation and your meetings

Anonymisation comes included in ablalo, the app that writes what you dictate and takes notes of your meetings. You install it once and you have everything.

Frequently asked questions about anonymising documents

What does ablalo hide when it anonymises a document? +

Names and surnames, Spanish identity numbers (DNI and NIE), CIF and passport numbers, the NIG and the case number, IBANs and cards, phone numbers and emails, addresses and postcodes, bar (colegiado) and Social Security numbers, number plates, land registry references, the date of birth, and companies and named centres, such as a school or a hospital. Each item becomes a tag, such as [PERSONA 1] or [DNI 1], and the same person gets the same tag throughout the text.

Does it work with documents in English? +

It is built for documents in Spanish: it recognises Spanish names and Spanish identifiers such as the DNI, the NIE, the NIG or the bar number, and it also reads documents in Catalan, Galician and Basque. It is not designed for documents in English, and the tags are in Spanish too, such as [PERSONA 1] or [DIRECCIÓN 1].

What does it leave visible? +

It leaves visible the courts and other institutions, the laws and case law cited, cities and countries, amounts and dates, except the date of birth. Nor does it hide health or trade union membership data, and the facts described can identify someone: that is why you should review it before sending it.

Is the document uploaded to the internet to anonymise it? +

No. The text and the document are anonymised inside the app, on your computer, and do not leave it. Scanned PDFs are read by your own system's text recognition, not in the cloud either, and putting the names back is also done on your machine.

Can I anonymise a scanned PDF? +

Yes. If the PDF is a scanned image, ablalo reads its pages with your computer's text recognition, shows you how far it has got and warns you that the text comes from a scan, because it may contain typos. If a page could not be read, it tells you. A password-protected PDF cannot be read: open it, copy the text and paste it into ablalo.

Does it keep the formatting of the Word document or PDF? +

No. ablalo reads the text and saves a new Word document or PDF with the tags, with a note at the top (in Spanish) explaining what they are. From a Word document it reads the body: headers, footers, footnotes, comments and images do not carry over to the new document. You can also copy the text and paste it wherever you like.

Can I redact names in Word with ablalo? +

Not with black boxes: ablalo replaces each name and detail with a tag, such as [PERSONA 1], and saves a new Word document or PDF, or lets you copy the text. If you select a passage in Word and press Alt + A (⌥ + A on a Mac), it replaces it right there with the tagged version.

How do I use ChatGPT with a document without pasting my client's details? +

Anonymise the document in ablalo, copy the tagged text and paste it into ChatGPT or another AI. When it answers, paste its answer into “Put the names back”: the tags turn back into the real names and details, on your computer. Do it before closing, because the tag table is not saved. Before using an AI with client data, also check what to ask about where it is processed.

What if the AI changes or makes up a tag? +

The tags ablalo recognises go back to their real name. One it doesn't recognise stays as it is and ablalo tells you which one, so you can correct it by hand.

Is it anonymising or pseudonymising? +

Because the names can be put back with the tag table, strictly speaking it is called pseudonymising. We say “anonymise” because that is how almost everyone searches for it and what the section of the app is called. ablalo does not promise that the result is anonymous: what it does is replace the data on the list with tags, and that is why it asks you to review it before sharing it.

Does it also work for the transcript of a hearing or a meeting? +

Yes. When the app transcribes the recording of a hearing or a meeting, “Remove names” shows the transcript with tags such as [TESTIGO 1] (witness 1), and copying or exporting gives you that version. The names are put back just as in a document. We explain it in transcribing hearings and meetings.

Does it work with documents in Catalan, Galician or Basque? +

Yes. It recognises the language of each document, and of each paragraph if they are mixed, and uses the same tags as in a document in Spanish.

Is there a free online version? +

It is not a website where you upload the document: the anonymiser is built into ablalo, the desktop app for Windows and Mac. You can try it free for 14 days, no card needed, and if you're not convinced you pay nothing.

Share the document, not your client's details.

ablalo hides them on your computer and gives them back when you need them.
